Thanks for visiting. We’re glad you’re here and look forward to giving you all the features and information on offer through our sites. Naturally, respecting and protecting your privacy is high on our agenda. We have a zero-incident history from the past 20+ years working with large enterprise, and we intend to keep that record with high-quality systems and processes.

We respect the EU’s General Data Protection Regulation (GDPR) and the principles it stands for. This policy explains how we collect and treat any information you give us. You won’t find complicated legal terms or long passages of unreadable text. We’ve no desire to trick you into agreeing to anything that might compromise your information security or that of your company.

Our commitment

We value your privacy as much as we do our own, so we’re committed to keeping your personal and business information safe. We’ll never use your personal information for any reason other than the reason you gave it, and we’ll never give anyone access to it unless we’re required by law.

How Magneto Mentor AI handles your information

Magneto Mentor is an AI upskilling tool designed to help enterprise teams rapidly build the structured thinking skills needed to work powerfully with AI. It helps people learn to write clear prompts and build AI workflows. You build a prompt by answering guided questions. The tool doesn’t run your AI tasks for you, and it doesn’t accept file uploads.

Some features use a third-party AI service (Anthropic) to help build prompts. When you use these features, we send only your structured prompt and your answers to the in-app questions. These go server-side to Anthropic’s commercial API for processing, and the result comes back to you inside the tool.

If you build a persona or prompt yourself, no AI is used at all.

Here’s what never leaves the platform: your organisation’s documents, any files, your emails and your passwords.

Anthropic doesn’t use these inputs to train its models, and logs are deleted on a short retention window. You can review the details in Anthropic’s commercial terms and Anthropic’s Trust Centre.

Inside Magneto Mentor AI we store your account details (organisation, username and email), the prompts and workflows you save, and anonymous usage data that helps us keep the platform running well.

Every AI call is server-side only, rate-limited, and logged for oversight. The log records the user, organisation, token count, duration and status, but not the content of your prompt.

How we collect information

We may collect personal information from you when you use our website, products or services. This may happen when you tell us about yourself: by subscribing to us, completing an online form, attending a training course or learning session we run, using Magneto Mentor AI, entering details about our products or services, accepting an invitation from us, or when you call us or send us an email.

Personal information

Personal information is information that identifies you or could identify you, such as:

  • your name, email address or contact details
  • your interests in our products, services or events
  • information about your dealings with us
  • any other information we may need to supply or promote our goods or services.

Data classification

All data is deemed ‘Commercial in Confidence’. Please don’t send us, email us, or upload to our website or software any SPI (Sensitive Personal Information), unauthorised PII (Personally Identifiable Information) or unauthorised PHI (Protected Health Information).

Information about someone else

If you give us information about another person, make sure you’re authorised to give it. You must also tell that person who we are and that we may use and disclose their personal information under this privacy policy.

Cookies

Here’s how we may use cookies on our websites. If you don’t wish to receive any cookies, you may set your browser to refuse them.

We may use cookies to learn about how you use our website, to save you from having to re-enter your details when you’re a returning visitor, or to help us make a better experience for you.

But we don’t use cookies or scripts that track other websites you visit or build a profile of your internet activity on sites other than our own.

Cookies may automatically record details about any computer used to access the website, such as the date and time of access, the IP address, domain name and details of the information accessed.

Use of information

We may occasionally send you information on our products and services. When we do, you have the option to unsubscribe. We might also email or phone you about our products and services, but if you tell us not to, we won’t get in touch again. We may use your information to send you invoices, statements or reminders.

We won’t disclose your personal information to any third parties without your consent, unless we’re required to by law, or to the extent we use third parties to capture or manage your personal information on our behalf.

We don’t use your personal information to train artificial intelligence systems. Such use is expressly prohibited unless we have your written consent.

Where we store your information

When you contact us by email or through our websites, we store your information in our Customer Relationship Management (CRM) software. If you sign up for our e-zines, we store your name and email address in Mailchimp, our email-marketing platform. When you buy something, your information is processed by Stripe, our ecommerce platform. And when we do business, we store your information in our accounts software, Xero. We chose these systems partly for their commitment to security.

When you use Magneto Mentor AI, we store your account details (organisation, username and email), the prompts and workflows you save, and anonymous usage data. The application and its database are hosted with Railway in Singapore, and AI requests are routed to Anthropic’s API. We don’t store your organisation’s documents, and Magneto Mentor doesn’t accept file uploads.

Security of personal information

We take all reasonable steps to protect information we hold (including your personal information). We also take reasonable steps to hold information securely in electronic or physical form.

Internally, we use password vaults to generate and store complex, encrypted passwords for our software and marketing infrastructure. Vault access is assigned by individual role to our team members. We use a different, randomly generated password for each service, and never use the same password twice.

When available, we use two-factor authentication for all of our software and marketing infrastructure.

Security of payment information

We use Stripe to process credit-card payments online. Stripe is certified to PCI Service Provider Level 1. This is the most stringent level of certification available in the payments industry. (Note: PCI compliance is required for all merchants that store, transmit or process payment card information.)

Stripe has their own privacy policy. Although our agreement with them doesn’t allow the other transacting party to use this information for anything other than providing payment services, we’re not responsible for their actions, including their information-protection practices.

If you don’t want to use your credit card online, we offer alternative payment methods.

Third-party links

Our websites contain links to third-party sites. We are not responsible for the privacy practices or content of those websites. We recommend reviewing their privacy policies before providing any personal information.

Who has access to information about you

When we store information, only the people who need it can access it. Our management team has access to everything you’ve provided, but individual team members have access only to what they need to do their job.

Changes to our privacy policy

If we change the contents of this policy, those changes will become effective the moment we publish them here. We do not undertake to notify users or clients individually of changes.

Access to your information

You may request access at any time to personal information we hold about you by emailing us at training@magneto.net.au. We’ll delete your personal information on your written request.

Applicable law

This privacy policy is governed by Australian law, and any dispute relating to it will be determined by the courts of New South Wales.

Note

This policy sets out generally how we endeavour to deal with personal information. It’s not intended to represent that we’re bound by the Australian Privacy Act 1988. That’s not because we’re not committed to privacy, but because we’re below their private company annual turnover limits.
